Committee Roles and Responsibilities

  

Cheer Squad Committee Roles, Responsibilities and Guidelines

· As per Constitution each Committee member will serve a term of 3 years on the Committee when elected.

· Should a position on the Committee become vacant the Committee may co-opt a member of the Cheer Squad to fill this role for the remainder of the term of the vacant position.

· The position of President, Secretary and Treasurer will be determined at the first Committee meeting after the Cheer Squad AGM and members will fill these roles until the first Committee meeting of the next year’s AGM.


Chairperson -

· Appointed by the Football Club

· All communication to club to go through Chairperson – Appendix B

· Responsible for the overall operation of the Cheer Squad

· Can veto decisions made by Committee if deemed detrimental to the Football Club

· Can take disciplinary action (including giving warning or dismissal) on any Committee or Cheer Squad member(s) if behaviour is deemed inappropriate, detrimental to Cheer Squad or Club or in breach of Constitution or Code of Conduct.


President -

· To be chosen by the Chairperson who may consider input from Committee in making appointment

· To work with the Chairperson on all the tasks below

o Responsible for the match day operation of the Cheer Squad and ensuring that all other Committee members are fulfilling their respective duties - see duty list in Appendix 1.

o Liaise with Chairman to ensure that anyone in breach of the Cheer Squad Code of Conduct is dealt with in an appropriate manner

· Attend CSL meetings with Chairperson


Leader -

· This position may be utilised in the event that Chairperson does not take an active role in assisting running the Cheer Squad on match days

· To be chosen by the Chairperson who may consider input from Committee in making appointment

· Provide match day support for President and perform duties of President when not available


Secretary - 

· To be chosen by the Chairperson who may consider input from Committee in making appointment 

· Responsible for taking and distribution of meeting minutes 

· Responsible for Cheer Squad Social Media accounts

· Responsible for communications as directed by Chairperson and or President


Treasurer - 

· To be chosen by the Chairperson who may consider input from Committee in making appointment 

· Responsible for maintaining and reporting of Cheer Squad financial position

· Responsible for banking of game day monies.

· Responsible for paying all Cheer Squad invoices in a timely matter.




Appendix 1.

Banner Making

· Order supplies

· Get sponsors sleeves printed

· Artwork organised- Tiger pictures, logos etc

· Come up with wording- check club for sponsors banner slogan when required

· Milestone players pictures organised

· Let members know time etc

· MAKE BANNER

Memberships

· Renewal notification to be distributed

· Membership cards organised

· Member letters printed

· Cards and letters sent out

· Database of members updated

· Handle enquiries about memberships

· Sponsorships- organise badges, photos printed, send out

Merchandise

· Design t-shirt and order

· Design hoodie/jacket and order

· Milestone badges ordered

· Update website shop 

· Sort deliveries/fulfill orders

· Send out merch to members

· Finals merch to be designed & ordered

· Organise table at Punt Rd for a VFL game & family day merch sales (if club allow)

Pre-Game Day Organisation

· Melbourne: Organise polling crew – people & time

· Melbourne: Organise van/equipment transport

· Melbourne: Organise seating plan

· Melbourne: Print & stuff lucky envelopes

· Melbourne: Organise raffle prizes

· Interstate: Contact for venue to set up access time

· Interstate: Distribute tickets via email

· Interstate: Travelling with banner

· Interstate: Travelling with flags & patties (Floggers if required)

· Interstate: Organise local floggers to be at ground (Perth, Adelaide, Brisbane & Gold Coast)

· Interstate: Organising polling crew – people, time & location

Game Day

· Take in floggers etc & set up in seating area

· Pole banner

· Give out tickets before gates open

· Sell raffle tickets

· Sell badges

· Sell lucky envelopes

· Organise ground crew & give out passes

· Take banner crew to area under ground and give expectations (Briefing)

· Organise rope people

· Organise photographer

· Hold up banner

· Collect ground passes

· Strip banner and keep artwork if required, poles & rope bag taken back to van

· Open gates and shed at Punt Rd

· Collect bins for patties & flags, fill & take back to Punt Rd or underneath MCG or van at Marvel

· Take floggers to Punt Rd or underneath MCG or van at Marvel

· Check everything has been taken and nothing is left behind

Social

· Organise CS events
